Search documentation is an important part of compliance. All notes, including interview and reference notes, can be subpoenaed and presented in a legal proceeding. Notes should be clear and concise. Visit this link to learn more about best practices for adding notes.
Notes can be attached to jobs or to applicants.
Notes that relate to a position, or all candidates applying to a position, should be attached to the job (e.g. “All finalists will need to provide links to graphic design portfolios”).
Notes that are specific to a candidate should be attached to an applicant (e.g. notes from an interview or from a reference).
Attaching Notes to Jobs

Log into Connect Lehigh

Select Employee

Select Page Up to access the PageUp People System

Click the Administration (located under the blue Recruitment/Position Description heading)

The Administration area of the system will open as a tiled dashboard in a new window

Click Jobs (at the top of the screen)

Click the blue linked title of the job you want to add a note to

Click the Notes tab
-
Select Note from the drop down menu

A new window will open
-
Add your notes to the text box
-
Click Save when finished

Select PageUp to access the PageUp People System

Click View Applications (in the upper right hand corner)

Click the name of the person who needs the note

Click the three dot button (to the right of the position title)

Select Add Note

Label your note to indicate what it’s referring to
-
This makes it easier to review your search for compliance at the end of the process

Examples: Phone Interview, On campus interview, Reference Notes, Email correspondence received

All notes should include the date, time, interview type, and the names of individuals involved

Click Save when finished
