Requesting a Position Re-evaluation

There are times when a classified staff member’s position description (PD)  should be re-evaluated. These include, but are not limited to:

  • Changes in an employee’s duties
  • Changing needs within a unit
  • Concerns regarding pay equity or retention
  • Unit re-organizations
  • Position vacancy

When such cases arise, supervisors should initiate a position re-evaluation.

Introducing the Re-evaluation Request Cycle 

In order to provide structure and a shared understanding of timeline and expectations, effective fall 2025, certain re-evaluation requests must be processed on a cycle with three specific windows of opportunity annually.

Re-evaluations included in the Cycle Schedule
  • Significant changes in an existing employee’s duties
  • Equity reviews, including evaluating market (external) or internal positioning
  • Unit re-organizations involving multiple major changes
     
Actions that may take place at any time
  • Creating new positions
  • Re-evaluations for:
    • Minor changes that don’t result in salary or grade change, including title change, wordsmithing, consolidating/rewriting duties, adding or updating time spent on duties
    • Vacant positions 
    • Identified retention priorities

Requests are generally reviewed within 72 hours; however, reviews may not begin until after the submission period has closed. The timing and duration of the review process depend on the number of requests received and the complexity of each, and may take up to several weeks to complete.

The effective date of approved changes will be determined at the discretion of Human Resources. In some cases, changes may be applied retroactively, while in others it may be more appropriate to set a future effective date.

How to Submit a Re-Evaluation Request

Requests must be submitted via the PageUp System. Step-by-step instructions are available in the PageUp User Guide website

Important Notes
  • Requests submitted after the deadline will not be accepted. If you miss a window, resubmit your request during the next submission cycle.
  • Along with the updated PD, requests should include before and after organizational charts which will be reviewed along with the updated PD
  • Supervisors should explore redundancies and broader opportunities to optimize shared services as part of the re-evaluation process
